But I am not always sure if they understand what I mean.\u201d <\/span><\/i><i><span style=\"font-weight: 400;\"><br \/><\/span><\/i><i><span style=\"font-weight: 400;\"><br \/><\/span><\/i><span style=\"font-weight: 400;\">This is one of the most common concerns for accounting firm owners and leaders when considering outsourcing. The uncertainty isn\u2019t always about whether an offshore accountant can perfectly balance the books or ensure the tax prep work is accurate. It is about what happens around that. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">Will instructions get lost in translation? Will someone ask for clarification when they have a doubt? Will a client-facing email sound like something written by whoever is in charge? What happens when an urgent matter needs to be escalated? Most importantly, how much time will the team in the US spend explaining things that they assumed were obvious?\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">Several studies on global virtual teams have shown that foreign-language skills can influence individual performance. And language-related anxiety can make it worse. The studies also show that accents can sometimes influence how people interpret communication in globally distributed teams.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">But there is a clear distinction: Language differences may cause friction. But poorly-designed communication can turn that friction into a business problem.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-03315b2 elementor-widget elementor-widget-text-editor\" data-id=\"03315b2\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<h2><b>The real cost of a communication gap<\/b><\/h2><p><span style=\"font-weight: 400;\">Let\u2019s take a probable situation &#8211; a US-based controller asks an offshore team member to \u201c<\/span><i><span style=\"font-weight: 400;\">clean up the outstanding items and send the file when ready.\u201d <\/span><\/i><span style=\"font-weight: 400;\">Here\u2019s what happens:\u00a0<\/span><\/p><ol><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The team member assumes the \u201coutstanding items\u201d are all unreconciled transactions.\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The controller meant only the transactions needing client clarification<\/span><\/li><\/ol><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">The work looks complete. But when the controller reviews it, a lot of it needs to be redone. There was nothing wrong with the technical knowledge. But everything was wrong with how two parties perceived the meaning of the same instruction. <\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">This is when communication becomes an important part of the <\/span><a href=\"https:\/\/befreeltd.com\/us\/services\/accounting-outsourcing\/\"><span style=\"font-weight: 400;\">accounting outsourcing<\/span><\/a><span style=\"font-weight: 400;\"> challenges. The cost of this miscommunication isn\u2019t limited to rework. It creates:\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Missed deadlines<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Inconsistent outputs<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Unnecessary prolonged review cycles<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Frustrated leaders<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Errors that are visible to the clients<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">So how do you prevent language differences from becoming a part of an operational problem? <\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-8a90fe4 elementor-widget elementor-widget-text-editor\" data-id=\"8a90fe4\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<h2><b>Stop treating fluency as the only measure<\/b><\/h2><p><span style=\"font-weight: 400;\">An offshore member can speak incredible English, yet can misunderstand an instruction. Why is that?\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">The main difference that leaders sometimes fail to realize is that business communication is so much more than just vocabulary. It includes:\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Context<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Tone<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Industry jargon<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Idioms<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Implied expectations<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Clients\u2019 preferences<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Definition of \u201curgent\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Knowing when to escalate versus resolve independently<\/span><\/li><\/ul><p>\u00a0<\/p><p><a href=\"https:\/\/hbr.org\/2021\/03\/whats-the-best-way-to-communicate-on-a-global-team\"><span style=\"font-weight: 400;\">Harvard Business Review <\/span><\/a><span style=\"font-weight: 400;\">states that slang, idioms, and culturally specific language can create difficulties even when English is the common language of a global team. This simply means that the objective shouldn\u2019t be just to \u201chire people who speak good English\u201d. The goal should be to create an environment where important information is difficult to misunderstand.<\/span><\/p><p><span style=\"font-weight: 400;\">Let\u2019s spot how you can attempt to achieve this:<\/span><\/p><p><strong>1. Replace implied instructions with explicit ones<\/strong><\/p><p><span style=\"font-weight: 400;\">\u201cPlease prioritize this.\u201d \u201cCan you look into this?\u201d \u201cGet this done today.\u201d These phrases may feel perfectly clear to the person saying them.\u00a0 They&#8217;re not necessarily clear to the person receiving them.<\/span><\/p><p><span style=\"font-weight: 400;\">A clear instruction includes:\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-checked=\"false\" aria-level=\"1\"><span style=\"font-weight: 400;\">What needs to be done<\/span><\/li><li style=\"font-weight: 400;\" aria-checked=\"false\" aria-level=\"1\"><span style=\"font-weight: 400;\">Why it needs to be done<\/span><\/li><li style=\"font-weight: 400;\" aria-checked=\"false\" aria-level=\"1\"><span style=\"font-weight: 400;\">What \u201cdone\u201d looks like<\/span><\/li><li style=\"font-weight: 400;\" aria-checked=\"false\" aria-level=\"1\"><span style=\"font-weight: 400;\">When it is needed<\/span><\/li><li style=\"font-weight: 400;\" aria-checked=\"false\" aria-level=\"1\"><span style=\"font-weight: 400;\">What to do if there\u2019s a problem<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">A complete instruction may look something like this:\u00a0<\/span><\/p><p><i><span style=\"font-weight: 400;\">\u201cPlease reconcile the operating account through July 30. Flag transactions above $5,000 that cannot be matched to supporting documentation. I need the completed reconciliation by 3 p.m. ET tomorrow. If anything could prevent that deadline, let me know by noon today.\u201d<\/span><\/i><\/p><p><span style=\"font-weight: 400;\">This isn\u2019t about simplifying communication. It is about reducing the room for misunderstandings.\u00a0<\/span><\/p><p><strong>2. Create a shared language for the work<\/strong><\/p><p><span style=\"font-weight: 400;\">Every accounting firm has its own vocabulary.<\/span><\/p><p><span style=\"font-weight: 400;\">A \u201cclose\u201d can mean different things to different organizations. So can \u201creviewed,\u201d \u201ccomplete,\u201d \u201cpending,\u201d \u201cescalate,\u201d or \u201cclient-ready.\u201d<\/span><\/p><p><span style=\"font-weight: 400;\">What may make things easier is to create a shared glossary for terms that matter. These can also be included in SOPs and workflow documentation. This is essential in accounting outsourcing because the offshore team needs to understand not just accounting terms, but also the firm\u2019s terms. This is where training becomes more valuable than simply testing language proficiency.\u00a0<\/span><\/p><p><strong>3. Don&#8217;t make asking questions a sign of weakness<\/strong><\/p><p><span style=\"font-weight: 400;\">The most dangerous communication gap is the invisible one.\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A team member doesn\u2019t ask when they don\u2019t understand an instruction<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A manager assumes everything is clear<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">An offshore team member proceeds based on their interpretation<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">The mistake appears days later. A <\/span><a href=\"https:\/\/www.sciencedirect.com\/science\/article\/abs\/pii\/S1075425319300833\"><span style=\"font-weight: 400;\">study<\/span><\/a><span style=\"font-weight: 400;\"> on global virtual teams states that language differences can lead to anxiety and disengagement, which directly impacts performance. That is why it is important that leaders ask \u201cwhat questions do you have\u201d rather than \u201cis everything clear\u201d.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">The second one is a yes-or-no question, while the first one creates space for uncertainty. And when there is any sign of a potential problem, as leaders, don\u2019t make them regret doing it. When teams feel psychologically safe to say \u201cI am not sure\u201d, it becomes easier to manage the issues before they become a business problem.\u00a0<\/span><\/p><p><strong>4. Match the communication channel to the complexity<\/strong><\/p><p><span style=\"font-weight: 400;\">Not everything can be an email. A simple task update can be documented. A complex accounting issue, involving several assumptions, may be better handled over a call.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">When you have a proper communication tool and information richness, it can positively impact team performance. A useful rule is:\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Document simple information\u00a0<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Discuss complex information<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Discuss and document important decisions<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">A simple 5-minute conversation can save a 20-message email thread. But if everything remains undocumented, the issues return and relapse.\u00a0<\/span><\/p><p><strong>5. Build \u201cclosed-loop\u201d communication into critical work<\/strong><\/p><p><span style=\"font-weight: 400;\">For critical tasks, don\u2019t assume that sending an instruction means it is understood. Use a simple loop framework:\u00a0<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Instruction<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Confirmation<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Execution<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Review<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Feedback<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">For example, after assigning a complex task, ask the team member to summarize their understanding: \u201cJust to confirm, here&#8217;s how I&#8217;ll approach this\u2026\u201d This isn&#8217;t micromanagement. It is an early error-detection mechanism.<\/span><\/p><p><span style=\"font-weight: 400;\">It is easier and better to correct a misunderstanding before work begins than to discover it after it\u2019s sent to a client.\u00a0<\/span><\/p><p><strong>6. Train for your business, not just accounting<\/strong><\/p><p><span style=\"font-weight: 400;\">One of the key challenges of outsourcing accounting services is the assumption that technical competence automatically means business readiness. It\u2019s not.<\/span><\/p><p><span style=\"font-weight: 400;\">An offshore accountant may know how to perform a reconciliation. But there are many other things they need to understand too, such as:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">How your firm structures its chart of accounts<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your documentation standards<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your review process<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your clients&#8217; expectations<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your preferred communication style<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your escalation rules<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Your technology stack<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What constitutes a client-ready deliverable<\/span><\/li><\/ul><p>\u00a0<\/p><p><span style=\"font-weight: 400;\">To enable all of these and more, onboarding should include process and communication training, and not just technical training. The objective should be to make the offshore team familiar with the way your business works.\u00a0<\/span><\/p><p><strong>7. Don&#8217;t make every communication problem a language problem<\/strong><\/p><p><span style=\"font-weight: 400;\">This is one of the most important things that leaders mistake for.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">A<\/span><a href=\"https:\/\/www.sciencedirect.com\/science\/article\/abs\/pii\/S009026162500021X\"><span style=\"font-weight: 400;\"> recent study<\/span><\/a><span style=\"font-weight: 400;\"> of more than 100,000 participants across 20,000 global virtual teams in 70 countries found that language barriers, cultural diversity, and time zones were often less significant obstacles than expected. This study also highlighted that institutional differences, competing commitments, and lack of informal communication were more important barriers to effectiveness.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">These observations should make leaders pause. Sometimes what looks like a language problem is, in fact, a process problem or a documentation problem, a training problem, or a management problem.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">When you fix these problems, many of the \u201clanguage barriers\u201d will start to appear insignificant.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-473baa5 elementor-widget elementor-widget-text-editor\" data-id=\"473baa5\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t\t\t\t\t\t<h2><b>The goal isn&#8217;t perfect communication. It&#8217;s predictable communication.<\/b><\/h2><p><span style=\"font-weight: 400;\">Globally distributed teams can never communicate exactly like a team sitting in the same office.
